This Privacy Policy explains how we collect, use, disclose, and protect information when you visit theboardwalks.com, subscribe to our communications, attend a walk, apply to host, submit a story, contact our team, join The Board, or otherwise interact with The Board Walks.

In this policy, “The Board Walks,” “we,” “us,” and “our” refer to HIGH VIBE VENTURES LLC, the organization responsible for The Board Walks.

  • Walk registrations, RSVPs, and check-ins

  • Host applications and onboarding

  • The Board applications and membership administration

  • The Friday Debrief and other email communications

  • Contact, press, sponsorship, research, and partnership inquiries

  • Surveys, feedback forms, and Trail Tales submissions

  • Events, community programs, and other services operated by The Board Walks

 

Some parts of our community operate through third-party services such as Meetup, Typeform, Beehiiv, Mighty Networks, Wix, and payment processors. Those services may collect and process information under their own privacy policies in addition to this policy.

The information we collect depends on how you interact with us.

Information you provide directly

 

We may collect information such as:

  • City, country, or preferred walk location

  • RSVP and attendance information

  • Answers submitted through registration, application, survey, or feedback forms

  • Host application and onboarding information

  • Professional background, social profiles, or website links you choose to provide

  • The Board application and membership information

  • Contact, press, sponsorship, partnership, podcast, speaking, research, or corporate-wellness inquiries

  • Stories, testimonials, photographs, recordings, and other material you submit

  • Communications you send to our team or local hosts

  • Accommodation or accessibility requests

  • Any other information you voluntarily provide

 

Please do not submit sensitive personal information that is not necessary for the specific request or service.

 
Payment and transaction information

 

When you purchase a product or paid membership, payment information may be processed by a third-party payment provider such as Stripe or Stan Store.

The Board Walks generally does not receive or store your complete credit-card number. We may receive limited transaction information, such as the amount paid, transaction date, subscription status, billing name, and partial payment details.

When you visit our website or interact with our emails, we and our service providers may automatically collect information such as:

Attendance requires consent to photography and recording. I grant The Board Walks an irrevocable, perpetual, worldwide, royalty-free license to use photos, videos, or recordings of me for any lawful purpose, including commercial use; provided, however, The Board Walks will not publicly share recordings of clearly private one-on-one conversations identified as confidential. If I do not consent, I may not attend.

  • When you RSVP, check in, or attend a walk

  • When you join an email list or community

  • Through our hosts and authorized team members

  • Through service providers operating on our behalf

  • From publicly available sources when appropriate for press, partnership, sponsorship, or host-review purposes

 

4. How we use information

  • Register attendees and manage walk participation

  • Communicate route, weather, location, host, or scheduling information

  • Support a safe, consistent, and welcoming walk experience

  • Review host applications

  • Train, onboard, and support hosts

  • Review applications to The Board and administer memberships

  • Process payments and manage subscriptions

  • Deliver the Friday Debrief and other requested communications

  • Respond to contact, press, partnership, research, or sponsorship inquiries

  • Publish Trail Tales, testimonials, and community stories with appropriate permission

  • Improve our website, communications, programming, and community experience

  • Understand aggregate attendance, engagement, and growth

  • Maintain records and administer our operations

  • Detect fraud, misuse, harassment, or violations of our Ground Rules

  • Protect the safety, rights, and integrity of our community

  • Comply with legal, tax, accounting, or regulatory obligations

  • Establish, exercise, or defend legal claims

 

We will not use personal information in a materially different manner without providing appropriate notice or obtaining consent when required.

 

5. Email communications

 

If you subscribe to The Friday Debrief or another mailing list, we may send you the communications you requested.

You may unsubscribe through the link included in the email. Unsubscribing from marketing does not necessarily prevent us from sending administrative messages related to an RSVP, application, transaction, membership, safety matter, or direct inquiry.

Submitting a contact form or registering for a walk does not automatically subscribe you to unrelated marketing communications unless that is clearly disclosed and you make the appropriate choice.

 

6. How we disclose information

 

We may disclose information to the following categories of recipients.

 

Service providers

 

We may work with companies that help us operate our website, events, forms, email communications, databases, applications, memberships, analytics, payments, and other business functions.

 

These providers may include:

  • Website analytics providers

  • Email, hosting, storage, and communications providers

Hosts and authorized team members

 

We may make relevant attendee information available to a local host or authorized team member when needed to manage a walk, communicate important changes, provide requested support, or address a safety or conduct concern.

 

Hosts should receive only the information reasonably needed to perform their responsibilities.

We may disclose information when we reasonably believe it is necessary to:

Please do not send passwords, complete payment-card details, government identification numbers, medical records, or other highly sensitive information through ordinary email or general contact forms.

Our website links to third-party services, including Meetup and other community, media, registration, or payment platforms.

15. Information about other people

 

Please respect the privacy of fellow attendees.

Do not submit a Trail Tale, testimonial, photograph, or other content identifying another person unless you have an appropriate basis and their permission where required.

Conversations during a walk may be personal. Our Ground Rules encourage respect and discretion, but The Board Walks cannot guarantee that every participant will keep every conversation confidential. Share thoughtfully and according to your own boundaries.

16. Children

 

The walks are designed primarily for adults. Participants under 18 may attend only with a parent or legal guardian who remains present and responsible for them throughout the walk. A parent or legal guardian should complete registration or check-in for a participant under 18 and provide only the information reasonably necessary for that participant’s attendance.

We do not knowingly collect personal information from children under 13. If you believe a child has submitted personal information to us, contact hello@theboardwalks.com so we can review and address it.

 

17. Changes to this policy

 

We may update this Privacy Policy as our practices, services, or legal obligations change.

 

The current version will be posted on this page with an updated revision date. If a change materially affects how we use information, we will provide additional notice where appropriate.
